The Administrative Assistant assists the Directors of Alumni and Church Relations, as well as the general Advancement office. It is a 10 hours per week position with the possibility of increasing up to 10 additional hours.

Position Duties & Responsibilities:

General Advancement Office Duties

o Answer phone and greet visitors as they come into the office.
o Assist with Advancement events and initiatives as needed, including registrations.
o Assist primary office staff with gift processing as needed.
o Serve multiple roles as needed at Senior Saints in the Smokies.

Alumni Relations Office

o Assist Director in maintaining and prioritizing portfolio relationships.

o Assist Director in making appointments, reminders, answering incoming calls & questions. Facilitate travel plans. Complete monthly credit card report.

o Attend & take notes in AR related meetings.

o Assist the Director in coordinating and serving as liaison for Homecoming activities & correspondence related to schedule, main sessions & leaders, workshop leaders, children’s ministries, class reunions, food services, meal tickets, housing for guests, program booklet, and campus notifications.

o Regional representatives correspondence and data entry.

o Coordinate the annual alumni/senior dinner.

o Assist with the logistical planning of regional alumni gatherings.

o Coordinate mailings to alumni for the Alumni Association. Receive & enter Alumni dues into Raiser’s Edge.

Maintain e-mail lists & coordinate mass e-mailing to alumni.

o Oversee yearly graduate survey (spring) and yearly family info sheet (fall).

o Help develop & maintain the budget, assign codes to invoices, and request funds.

o Participate in proofreading Johnson Magazine and other office products; make updates & changes to copy. Distribute the magazine to various offices & maintain the Access Index.

o Assist in editing and writing when necessary

o Coordinate social media for JU Alumni and Alva Ross Brown Society pages.

o Aid & assist in coordination of various campus events, as needed.

o Church Relations Office Duties

DAILY

o Research and run gift report for changes in giving patterns.

o Maintain and update church records on the RE database.

o Coordinate mailings for events and annual reporting to churches.

o Attend & take notes in Church Relations related meetings.

o Coordinate support for church leadership focused events.

WEEKLY

o Assist Director in maintaining and prioritizing portfolio relationships.

o Assist with travel plans for the Director of Church Relations.

MONTHLY

o Maintain travel displays and materials

o VCP correspondence and data entry.

o Regional representative correspondence and data entry.

o Coordinate social media for JUTN Church Relations pages.

o Organize travel receipts and complete monthly credit card report.

o Create & review lapsed donor church reports.

QUARTERLY

o Maintain email lists and quarterly mass emails to church leaders.

ANNUALLY

o Help gather and compile information for the Annual Report to churches.

o Create fiscal year & calendar year reports for trustees (Sept. & Feb.).

o Facilitate delivery of displays and materials to support JU representatives.

o Other duties as assigned by supervisors and/or the VP of Advancement.

Knowledge & Skills Requirements:

o Microsoft Products.

o Outlook, Word, Excel.

o The Raiser’s Edge and RENXT—will require ongoing training.

o Hootsuite—social media platform that incorporates:

o Instagram. o Facebook. o Twitter.

o Welcoming and hospitable attitude towards visitors, alumni, and friends of the school.

o Able to communicate formally & informally (in person and by phone).

o Able to get along with others and be a team player.

o Able to multi-task; handle several projects at one time.

o Writing and editing skills. Working Conditions:

o This position is primarily sedentary, working at a desk in a climate-controlled office.

o Prolonged computer work with keyboard & mouse usage.

o Flexibility/overtime hours during events, with some minor lifting, etc.

o Open office with frequent interruptions. Qualifications:

o High school education minimum, college education preferable.

o 2-3 years’ experience in Microsoft Word applications.

o Able to keep confidences.

o Spirit of service and cooperation with others.
