The FMLA/Leave Coordinator will oversee and administer US and Canada leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA)/Canadian Human Rights Act (CHRA), employer-sponsored leaves, state/provincial and local leave.The individual in this role will join the Indeed Global Benefits team in providing quality support and case management services to employees and key stakeholders. We seek an individual with exceptional communication and organizational skills, superior attention to detail, and the ability to prioritize. The ideal candidate will exhibit patience, maintain confidentiality, prioritize, and have strong collaboration skills with internal and external partners.
Required Skills
Assist employees, managers and HR (Human Resources) in understanding the various US and Canada leave and time away policies, process, and their responsibilities
Ensure that employees are aware of their responsibilities and any documentation and notice required to qualify for and take leave.
Manage day-to-day support for US and Canada absence management, including leave of absence, FMLA, ADA/CHRA state/provincial and local leave laws, and Indeed-sponsored time away programs
Manage and escalate system and processing issues and liaise with internal business partners on resolution such as data file issues and leave pay discrepancy cases as needed
Act as liaison between business lines, outsourced LOA vendors, and internal partners
Maintain appropriate contact with all employees on leave and assist with return to work for employees on leave
Engage with key stakeholders in legal and HR, requesting additional information for clarity on specific leave scenarios, including helping them understand leave rights
Partner with benefits and payroll, HR, department managers, and internal/external legal on all ADA/CHRA accommodations and actively manage the interactive process from beginning to end
Escalate complex time away, leave, and accommodation issues and cases appropriately for guidance by using sound judgment
Ensure service level agreements are met consistently with our leave vendors to maintain satisfaction ratings related to employee experience
Provide detailed information or ad-hoc reports as requested by payroll, benefits, HR, and legal
Perform exemplary customer service and assistance to employees, managers, and HR business partners (HRBPs)
Develop and administer training programs related to leave of absence and ADA/CHRA for employees, managers, and HR
Conduct and participate in a variety of presentations to inform and educate employee resource groups, employees, and managers about changes to leave benefit plans, administrative practices, and legislated requirements and programs
Maintain and create communication materials related to leave of absence and ADA/CHRAas needed
Perform data entry of leave of absence information into the human resources and payroll systems

Who You Are

3+ years of Human Resources, Leave of Absence and Case Management experience in the disability/worker's compensation/FMLA counseling arena
Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA/CHRA, and other statutory/provincial laws
Experience communicating decisions effectively and recognize the legal risk associated with specific disability issues
Convey necessary information clearly and effectively orally or in writing; demonstrate attention to, and convey an understanding of, the comments and questions of others; and listen effectively
Demonstrate accuracy and thoroughness; look for ways to improve and promote quality; apply feedback to improve performance; monitor own work to ensure quality
Must remain open to change and new information and ideas and adapt to the same
Strong communications skills and experience handling sensitive matters with tact and diplomacy
Attention to detail skills and experience maintaining confidentiality
Analytical and problem-solving experience
Process improvement experience
Experience working independently with minimum supervision and lead projects simultaneously
HR or Disability Management certifications preferred
Experience with HRIS and payroll systems, Workday experience preferred

Actual salaries will vary depending on factors including but not limited to location, experience, and performance. The range listed is just one component of Indeed's total compensation package for employees. Other rewards may include quarterly bonuses, Restricted Stock Units (RSUs), an open Paid Time Off policy, and many region-specific benefits.
