Integrity Risk International is a leader in the evolution, growth, and delivery of risk management services. We are actively looking for an experienced and professional Administrative Assistant to join our team in Reston, VA. The Administrative Assistant will report to the Chief Administrative Officer and is responsible for performing administrative functions such as coordinating travel arrangements, organizing and tracking expenses, conducting research, developing administrative procedures, and scheduling meetings. This position requires excellent MS Office skills including professional proficiency in PowerPoint, Word and Excel. This is a full-time position (40 hours per week) with excellent benefits (e.g., health, dental, vision, and paid time off).
What You Will Do
Perform general office duties such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
Make travel arrangements for executives and team members.
Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, and presentation software.
Answer email communications and phone calls and directs calls to appropriate parties and takes messages.
Open, sort, and distribute incoming correspondence, including faxes and e-mail.
Review a variety of materials, including reports, letters, and memos for content, and recommends changes.
Attend meetings to record minutes and tracks completion of action items.
Develop and maintain office procedures, administrative processes and recordkeeping systems.
Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively with team members to provide quality service.
Maintain confidentiality with unquestionable integrity. Performs other duties as needed.
What You Bring
A minimum of 5 years of related experience including proven experience supporting C-level executives.
Degree preferred; or equivalent combination of education and experience.
Ability to prioritize multiple tasks, work effectively under stress, meet short deadlines, and take direction.
Knowledge of office procedures, administrative and recordkeeping operations, and the use of various office machines and technology.
Strong ability to communicate well in English language, both verbal and written. Excellent knowledge of the rules of English grammar and composition.
Ability to perform assigned duties with minimum supervision.
Ability to identify problems and implement or recommend solutions; interpret and apply policies and procedures; deal diplomatically with team members and external constituencies; take responsibility; and use good judgment within scope of authority.
Ability to type proficiently and efficiently.
Strong proficiency in Word, Outlook, Excel, and PowerPoint; ability to develop presentations in PowerPoint.
Database and/or Access experience a plus.
Ability to learn and use new software programs as systems are upgraded. Flexibility to work overtime, as required, for task completion.
